What is Callboard?

Callboard is a theatre program management platform for K–12 schools, community theatres, and college programs. It combines inventory management, crew training & certifications, backstage exchange, and funding tracking in one place.

Each program gets its own workspace. Your data is private to your program — other programs can only see what you choose to list on the Backstage Exchange.

Inventory Management

Catalog everything your program owns across 12 categories:

• Costumes
• Props
• Lighting
• Sound
• Rigging
• Scenic
• Makeup
• Projections
• Soft Goods
• Tools
• Safety
• Other

Each item supports photos, condition notes, and production history. Free accounts can catalog up to 25 items. Pro and District accounts are unlimited.

QR Code Labels

Every item can generate a printable QR code label. Scan any label with a phone to instantly pull up that item's details — photos, notes, production history, and current location. No app install required for scanning.

Print labels as a sheet and attach them to storage bins, costume bags, or equipment cases.

Backstage Exchange

The Backstage Exchange is a marketplace where programs can loan, rent, or sell items to each other. List any item from your inventory and set a price or loan terms. Other programs can browse listings and message you directly to arrange a transaction.

Exchange listings are visible to all Callboard programs. Your internal inventory is never visible unless you explicitly create a listing.

Crew Training & Certifications

Callboard includes a full crew training module covering ETC Apex EOS (lighting) and Yamaha DM7 (audio) systems across four certification tiers:

• Observer — Intro concepts, safe operation basics
• Operator — Hands-on operation proficiency
• Lead — Advanced operation and troubleshooting
• TD — Full technical director knowledge

Crew members work through lessons and pass quizzes to advance. Admins sign off certifications and can see a full progress dashboard across the entire roster.

Funding Tracker

Track grants, Prop 28 allocations, and other funding sources alongside your expenditures. Callboard maintains a running balance and lets you export clean CSV reports for administrative use — no more digging through spreadsheets at grant reporting time.

Mobile App

Callboard is a Progressive Web App (PWA) — it works in the browser on any iOS or Android device without an app store install. For the best mobile experience, use your browser's "Add to Home Screen" option to install it like a native app.

Mobile is ideal for scanning QR labels in storage and updating inventory on the go.

Getting Started

1. Create a free account — enter your program name, email, and password. No credit card required.
2. Add your first inventory items — start with the things you can never find.
3. Print QR labels and attach them to storage bins or equipment cases.
4. Invite crew members and assign them training tracks.
5. Browse the Backstage Exchange to see what neighboring programs have available.
